Working with Time Off in Schedules

Employees can request time off directly from the schedule view, and managers can approve or decline those requests without leaving the schedules screen.

Accessing time-off requests via the schedule screen#

When time off is requested or approved, it appears in the schedule view like any other shift. The schedule shows pending requests, approved time off, and declined requests as clearly labeled entries.
Managers can switch to the Time off requests tab to see a focused view of all current requests.

Each request includes information such as date, duration, status, and whether it requires approval. This helps identify scheduling gaps or overlapping requests.

Submitting time off as an employee#

Employees can request time off using the web schedule or mobile components. They select the dates and provide an optional note. If the selected time off policy requires approval, the request will remain pending until reviewed by a manager.
The employee’s available balance is shown during the request. Some time off types may allow requests even when the balance is low or negative, depending on the policy settings.

Reviewing requests as a manager#

Managers can view pending requests from the schedule view by clicking into the Time off requests tab. From there, they can approve or decline each one. Previously reviewed requests are also shown with their current status.
Clicking into a request shows a breakdown of the dates, balance, and overlapping time off. The manager can review the context before approving or rejecting. A note can also be added during the review.

The same functionality is available on mobile as long as the manager has permissions to approve/decline requests:

This helps managers handle approvals in context, while looking at who else is already off on the same day.

Notifications and Status Tracking#

Employees and managers can receive notifications when a time off request is submitted, approved, or rejected. These notifications can be sent by SMS, WhatsApp, push notification, or email, depending on the configured preferences.

Learn More About Time Off Policies#

Employees can be eligible for multiple time off policises based on their role or employment type. Each policy defines the type of leave, how it's tracked, whether approval is needed, balance behavior, and more.
